The challenge

Although individual production management software exists in the market, a solution that combines different systems and resource management tools has been missing. Tietoevry meets the challenge with its social and healthcare production management. Increased demand for social and healthcare creates pressure to develop new solutions, as the demand must be met with limited resources.

With Tietoevry’s social and healthcare production management the whole care path can be managed as a whole. The production management saves social and healthcare workers’ time, and the platform facilitates shift planning, visibility of resource usage and optimizing of resources.

About the customer

With Finland’s health and social care reform, the hospital district of South Ostrobothnia changed to the South Ostrobothnia wellbeing services county on 1.1.2023. The task of the wellbeing services county is to organize social and healthcare as well as emergency services for over 192 000 residents. The wellbeing services county employs approximately 10 000 people. The hospital district of South Ostrobothnia is co-developing the production management platform together with Tietoevry.

Towards a fluent everyday and patient experience in social and healthcare

For a period of three years the hospital district of South Ostrobothnia (EPSHP) has developed production management in collaboration with three other hospital districts. In 2021, EPSHP began the development of one production management software with Tietoevry, and is now also taking part in the development work of the platform, which is the base of the whole production management system. In 2022 Tietoevry entered into a four-year agreement with the hospital districts of South Ostrobothnia, Kanta-Häme, Satakunta and Päijät-Häme.

“The purpose is to produce tools for professionals, which makes their daily work easier. The aim is to save resources and free up time for patient work and patient-related tasks'', says Tytti Valli, Service Manager for Health and Social Care Applications at the hospital district of South Ostrobothnia.

One of the challenges of the Finnish health and social care reform is that there are multiple different patient and customer information systems in use in the wellbeing services counties. The social and healthcare production management platform serves all of them, because the platform is not built inside a single patient or customer information system. The open platform facilitates the integration of different software.

“Amidst the health and social care reform, one of our main goals is the development and completion of the solutions according to the national timeframe. It’s also important for us that we are involved in the defining and development work from the beginning. We develop this based on the needs of the nursing staff, doctors, and service providers. They are part of the planning process and development from the start”, Valli tells.

Organizing facilities, resources, and equipment for patient appointments takes a lot of time at the moment. The solutions of production management can take care of this and free up time for other patient work.

The advanced algorithms of AI enable prediction

The production management solution aims to predict for example the quantity of nursing staff, beds, and facilities. The efficient organizing of these resources in one unit can guarantee the resources in others.

Artificial intelligence supports the production management to anticipate and predict resource demand. Data learning algorithms support the optimization of production plans.

EPSHP has begun the development of a production management dashboard solution together with Tietoevry. The next phase includes the development of the platform itself, as well as the development of the resource optimisation software.

“Until now we have acquired software as ready-made packages. Occasionally, we’ve had to adjust our processes and operating models based on this existing software, as they have not always fulfilled all of our needs. Now the professionals get to be part of the development work from the beginning. They have welcomed the opportunity and are keen to be part of the process”, Valli explains.

Open interfaces give room for continuous development

Even though the joint development work is in its early stages, the expectations are high. According to Valli, goal-driven operations are of crucial importance; open interfaces, cost savings, and freeing up the healthcare professionals’ time for patient work are key.

“At the moment healthcare professionals have to make a lot of phone calls to take care of patient-related tasks. In the future production management software will assist in patient communication, which could save a significant amount of time. The open interfaces of production management also enable further development”, Valli says.

According to Valli, organizing the facilities and resources as well as equipment for a patient appointment requires a fair amount of time. Production management solutions can take care of this and liberate time for patient work.

The Chief Information Officer of the hospital district of South Ostrobothnia Ari Pätsi also emphasizes the significance of open interfaces in developing production management software in the future.

“Open interface simplifies the integration structure. We’ll execute the integration from the software to the platform. This also brings manageability to data transfers, as the platform will include monitoring and fault handling for data transfers and integration. These will also facilitate tools for monitoring”, Pätsi says.

Seamless care and service chains

Open interfaces and software solutions facilitated by them result in cost savings of software. Carefully targeted resources ease the workload and save costs.

For the patient, the ideal optimization shows as a smoother, shorter, and faster care journey.

Pätsi confirms that the efficiency of the care journey also improves the quality.

“We estimate that the production management will enable the improved efficiency of care and its processes. We can transfer data significantly easier between the different systems. With this, we’ll be able to manage and process data faster. Once the work process becomes more efficient, the quality of the customer service improves”, Pätsi says.

According to Pätsi the biggest challenge is the fact that the solution is new.

“Nothing like this has been executed before. In a multi-party collaboration, you have to be able to combine different service providers and systems together via the platform, execute efficient data transfers and develop processes. Tietoevry is a major player in the field, and we have a long collaboration behind us. We can trust that Tietoevry has the capacity to execute a system this large, which is vitally important for the hospital districts”, Pätsi tells.
