The new reality of e-invoicing – making compliance simpler where it matters

E-invoicing and digital reporting are no longer optional or last-minute projects. In many markets, they’ve become a prerequisite for doing business.

Governments are expanding rules on how invoices must be issued, received, reported, and archived. The goals vary — from improving tax transparency and reducing fraud to strengthening payment discipline and speeding up digitalisation, but the result is the same: more structured, more controlled, and more standardised invoice handling.

For businesses operating in multiple markets, this creates growing complexity. What used to be about efficient invoice exchange is now tied to regulatory compliance, system architecture, and business continuity. A scalable compliance strategy is no longer a nice-to-have — it’s essential for sustainable growth.

Local mandates are already reshaping e-invoicing

The move towards regulated e-invoicing is closely linked to initiatives like the EU’s VAT in the Digital Age (ViDA), which aims to modernise cross-border VAT reporting. We have previously written about ViDA and our participation in related industry pilots.

While EU-level reform is still in progress, national mandates are already changing daily operations. Poland is implementing mandatory clearance through its KSeF platform. France is rolling out a phased e-invoicing and e-reporting mandate. Other European countries are introducing new digital invoicing requirements or extending existing frameworks to cover additional transactions and reporting obligations.

Although the objectives are similar, the technical models differ. Each country defines its own formats, authentication methods, and reporting timelines. There’s no single standard that guarantees compliance everywhere. Understanding local requirements is critical before making commitments.

As Tuija Lompolojärvi, Lead Product Manager, explains:
-  “The challenge isn’t just sending electronic invoices. It’s adapting to a constantly changing regulatory environment. With every country introducing its own formats and timelines, scalable compliance is the only way to ensure business continuity.”

Compliance is moving closer to the transaction

Tax authorities are shifting controls closer to the actual business event. Instead of relying on periodic VAT reports, invoice data often needs to be transmitted, validated, and sometimes cleared in near real time. Compliance is no longer static — it evolves. Your systems must evolve with it to keep operations running smoothly.

Simplifying compliance with BIX Compliance Gateway

In this environment, companies need more than invoice transmission. They need a stable, scalable foundation that supports regulatory alignment without adding complexity. That’s why we’re strengthening our B2B e-Invoicing Service with the BIX Compliance Gateway — a solution designed to support national e-invoicing and e-reporting mandates in selected markets.
